Check before changing status
Confirm the business date/time and whether the customer is arriving late, rescheduling or cancelling. A pending approval request is not a confirmed appointment the customer missed.
Record a no-show
- Find the booking in Calendar or All Bookings and check the customer, date and staff.
- Review any recent contact or agreed reschedule with the desk.
- Open the booking's actions and select No Show only when the status allows it and the customer actually did not arrive.
- Read the confirmation before saving. Add a short factual note when a note field is available.
- Reopen the appointment and verify the no-show status. Do not mark it completed just to remove it from an active list.
Handle cancellations and pending requests
- If the customer cancelled, use Cancel and the actual reason rather than No Show.
- If they still plan to attend another time, use rescheduling.
- For Pending Approval, approve or decline the request through booking approval; do not treat an unapproved request as a missed confirmed visit.
Review and follow up
Compare the same date period in Reports. Record neutral facts for the next appointment. A promotional invitation after a no-show needs appropriate marketing consent and must respect opt-outs. If an outcome was recorded incorrectly, open the available correction actions or ask support; do not invent a completed visit or reward to balance the numbers.
