Understand which bookings need a decision

Customer-created bookings become Pending Approval when any chosen service requires confirmation. Staff-created bookings remain scheduled. The pending request holds availability while it awaits a decision.

Review and decide

  1. Open Bookings or All Bookings and find the request marked Needs approval / Pending Approval.
  2. Open its details. Read the customer, all services, assigned staff and requested time, not only the first service name.
  3. Check the staff member can fulfil the whole request and any notes the customer supplied.
  4. Choose the available Approve action to accept, or Decline when the salon cannot fulfil it. Read the confirmation and any reason field before submitting.
  5. Reopen and verify the result: approved bookings become scheduled; declined requests release the held slot.
  6. Check Message History for the outcome of any customer notification. A saved decision does not guarantee delivery to every phone.

Changes while still pending

Rescheduling a request does not approve it. Review the new time and explicitly decide afterward. Do not check in, complete or mark an overdue pending request as a confirmed customer's no-show.

Manage the service rule

Open Services, edit the service and review its confirmation setting. Decide with the team before changing it. Existing states must be reviewed on the actual booking; do not assume a service setting rewrites every old request.

If actions are missing

Reload the current request because another staff member may have decided it. Check the visible status and permission message, then contact support with the booking reference if the state still cannot be resolved.
