Staff Clock-In & PIN Management

Use this guide when staff update their own availability from the clock-in page.

Open staff

Prepare staff PINs

Each staff member who uses the clock-in page needs their own PIN. Share it privately with that person.

Estimated time: about 2 minutes per staff member.

  1. Open Staff.
  2. Open the staff member profile or staff card.
  3. Choose Set PIN or Reset PIN.
  4. Copy the PIN when it is shown.
  5. Share it only with the staff member who should use it.
Manage PIN access from the staff page so each person controls only their own shift status.

Open the clock-in page

The clock-in page is available from Staff and Turns when staff self clock-in is enabled.

  1. Open the Clock in page button.
  2. Display the page on the shared tablet or staff device.
  3. If the business requires an in-store QR, open the page from the QR link before entering a PIN.
  4. Keep the page available where staff can reach it at shift changes.

Staff actions during the day

Staff should update status when their availability changes.

  1. Choose the staff name.
  2. Enter the 4-digit PIN.
  3. Choose Clock in at the start of the shift.
  4. Choose Pause before a break or when temporarily unavailable.
  5. Choose Resume when ready to take customers again.
  6. Choose Clock out at the end of the shift.

Manager review

Managers should check status when the turn list looks wrong.

  1. Open Turn Assignment.
  2. Confirm active staff match who is actually available.
  3. Reset a PIN if a staff member cannot access their status.
  4. Disable a PIN when the staff member should no longer use clock-in.
