Creating a Booking on Behalf of a Customer

Use this guide when staff need to schedule a customer from inside the workspace.

Open bookings

Start a new booking

Create the booking in the workspace when the customer is not using the public booking page. This keeps the calendar, reminders, and customer history together.

Estimated time: about 3 to 5 minutes.

  1. Open Bookings.
  2. Choose the date the customer wants.
  3. Select an open time on the calendar or choose the new booking action.
  4. Confirm the service before choosing staff or time.
Start by choosing the right service so the booking time and staff options stay accurate.

Enter the customer details

Use the same phone number the customer wants to receive booking updates on.

  1. Enter the customer name.
  2. Enter the phone number with the correct country code when available.
  3. Add email only when the customer wants email updates or receipts.
  4. Check whether the customer already exists before creating a duplicate profile.

Choose service, staff, and time

The service and staff selection decide which time slots are available.

  1. Choose the service the customer requested.
  2. Pick the staff member if the customer asked for someone specific.
  3. Use Any staff if the customer only cares about the time.
  4. Confirm the start time, duration, and date before saving.

Confirm with the customer

Before ending the call or front-desk conversation, repeat the booking details.

  1. Read back the service, date, time, and staff member.
  2. Tell the customer to watch for the confirmation message if messaging is enabled.
  3. Save the booking.
  4. Open Daily Agenda or Calendar Guide to confirm the booking appears in the right place.
