Setting Up Loyalty & Reward Programs

Use this guide when staff need to understand how visits become rewards.

Open settings

Review the loyalty rules

Set simple rules your team can explain at the front desk.

Estimated time: about 5 minutes to review rules, plus 1 minute to redeem a reward.

  1. Open Settings.
  2. Open Reward Setup.
  3. Confirm how many visits are needed for a reward.
  4. Confirm the reward label customers and staff will understand.
  5. Save changes before using the program with customers.
Keep loyalty rules simple enough for staff to explain during checkout.

Check a customer's reward progress

Use the customer profile before promising a reward.

  1. Open Customers.
  2. Search for the customer.
  3. Open the customer profile.
  4. Review visit count, available rewards, and used rewards.
  5. Confirm the customer is eligible before redeeming anything.

Redeem a reward

Redeem only when the customer is using the reward now.

  1. Open the customer profile.
  2. Choose Redeem when a reward is available.
  3. Confirm the reward with the customer and staff member.
  4. Save the redemption.
  5. Add a short note if your team needs context for the service.

Add a missed check-in

Use this when the customer completed a visit but did not check in from the public page.

  1. Open the customer profile.
  2. In Loyalty status, choose Add check-in.
  3. Enter a whole number from 1 to 10 for this visit.
  4. Confirm the check-in.
  5. Check the updated visit progress before closing the profile.

The point amount applies to this visit only. This action updates loyalty only. It does not send the customer a feedback request or another message. A reward that becomes available stays linked to the customer's phone number for your team to redeem later.

Keep the program consistent

Changing loyalty rules can confuse staff and returning customers.

  1. Review rules with managers before changing them.
  2. Tell staff when the reward target or label changes.
  3. Use Operational Reports to watch repeat visits over time.
  4. Contact support if reward progress does not look right.
