Ditch the paper sign-in sheet: switch to QR check-in in one morning

Moving from a paper sign-in sheet to QR check-in takes more than printing a code. The desk needs to know how to help, find the right customer and respond when a phone cannot open the page. A small trial run makes the first day easier.

01Prepare the correct salon link

Get the QR code from the correct location's account and scan it yourself. Check the business name, branding and destination before printing.

Place it in good light without glare and within easy reach. Test the printed version rather than only scanning an image on your computer.

02Walk through the full check-in

Use details you are authorised to use. Follow the steps to see what customers encounter, which permissions or details they need and what completion looks like.

Check the resulting customer information in the workspace. Complete a live test only when you intend to record it; avoid repeatedly adding artificial visits to an operating account.

03Help customers find the right profile

Confirm the current phone number if a customer cannot be found. Look for an existing profile before creating another so loyalty progress does not become split.

Do not substitute an employee's number. Help through the desk process and collect only the information needed.

04Separate check-in from marketing permission

Recording a visit does not mean agreeing to every promotion. Explain any marketing choice separately and let the customer decide.

Avoid reading phone numbers aloud or leaving previous customer information visible on a shared screen. Reset a desk device to the appropriate starting state between customers.

05Prepare for everyday problems

If the camera, network or browser permission causes trouble, staff should help without making the customer retry indefinitely. Check whether the visit was already recorded before trying again.

After the first shift, ask where customers needed help. Improve code placement and wording before assuming they do not want digital check-in.

Frequently asked questions

What if a customer cannot scan the code?

Help using the desk process and check the result before repeating an action. A camera problem should not leave someone waiting indefinitely.

Does scanning mean agreeing to promotions?

No. Explain and record marketing permission separately through the appropriate process.

Should I immediately create a new profile if search fails?

Confirm the number and check for an existing record first to avoid splitting history or loyalty progress.
