Customers loyal to one tech: scheduling so nobody waits too long

Customers who want their regular technician need a clear commitment. Walk-ins need to know who can see them soon. The desk can handle both by separating a firm staff request from a flexible preference at the start.

01Ask whether the person or the time matters most

Ask whether the customer needs that particular team member or would prefer the earliest available appointment. Record the answer so the next person at the desk does not have to ask again.

For a firm request, offer times that person can actually fulfil. For a flexible request, name the alternative team member and give a specific time.

02Check the service before finding a gap

An empty space is not necessarily long enough for the service. Check service assignments, working hours and duration before accepting.

Do not shorten the service to squeeze someone in. Allow for preparation or cleanup in the salon's schedule where the work requires it.

03Keep walk-ins separate from appointments

Arriving early does not automatically move a customer ahead of existing bookings. Check upcoming appointments before adding a walk-in so a booked customer is not left waiting.

Give a realistic waiting estimate and update it when circumstances change. If you need to check, say so rather than promising an immediate start.

04Ask before changing the team member

If someone is absent or running late, contact the customer as early as possible. Offer another time or another team member and let the customer choose.

Update the booking after agreement, recheck the service and repeat the new details. A staff change may matter a great deal to someone who requested their regular technician.

05Hand over one shared schedule

At shift change, review the same booking schedule rather than relying on verbal updates. Highlight special requests and appointments that still need a decision.

Review repeated overlaps and staff changes each week to improve working hours and intake. A shared source of booking information keeps the team acting on the same decisions.

Frequently asked questions

Can a technician accept a customer whenever a gap appears?

Check duration, working hours and assigned services as well. A visible gap alone is not enough.

What if the customer wants another technician?

Check the new person's service assignment and availability, then update the booking using the details agreed with the customer.

Should I promise an exact walk-in waiting time?

Give a realistic estimate, explain when it is approximate and update the customer if the previous service runs over.
